Goods in: Release goods ins
Once you have created your goods ins, they must be prepared and released before the goods in can be completed.
Once a goods in is released, it is possible to receive goods using the handheld terminal or directly on the computer.
If you haven't created any goods ins yet, you can read this article to learn how to create or import goods ins for further processing.
Prepare goods ins for release
After you have created a goods in, you will be able to see it (and any other goods ins) in the overview under Warehouse -> Goods in.
The overview shows the goods ins that are saved in Lagersystem but not yet completed.
Each goods in has a status that tells you how far along the goods in is in the process of being completed. You can also see how the goods in was created (in the source column), the specified reference, and any supplier and delivery date.
Note that, by default, goods ins cannot be found on the handheld scanner if the expected delivery date is more than one day in the future.
Goods ins with the status Being created must be prepared before they can be released for receiving.
This means the goods in is not yet fully ready for receiving, as there is missing information required before proceeding.
To edit the goods in, click the magnifying glass on the left side:
Assign locations to the items
You now enter the specific goods in, where you can fill in the missing information. At the top of the page, you'll see a message about what is required before the goods in can be released:
This error message means that there are item lines on the goods in that have not been assigned a location, i.e., the physical placement in the warehouse. If Lagersystem recognizes the item and it already has a location assigned, that location will automatically be set on the item line in the goods in.
If the items do not already have an assigned location, you must select a location series for the line.
It is also possible to select No assignment, handle manually. If you choose this, you must assign a location to the item yourself later.
Validation of item numbers
You may also find that Lagersystem cannot validate one or more item numbers in your goods in, in which case you will not be able to release the goods in either.
When an item is validated, it means Lagersystem already recognizes the item number, which is necessary for the system to adjust stock levels correctly. If one or more item numbers cannot be validated, you must make sure the item number already exists in your webshop or accounting system, from which we retrieve product data.
If the item number cannot be validated because there is an error in the item number, you can correct the item number directly on the line by clicking the edit icon to the right of the item number:
You can also delete the line from your goods in entirely. You do this by clicking the trash can icon on the right of the line:
Note: It is only possible to change and delete lines in goods ins that have been created manually or imported via a file. Goods ins created directly from an accounting system cannot be changed in Lagersystem, but must be adjusted in the accounting system and reloaded into Lagersystem.
Release for receiving
When everything looks good and you are ready to receive the items, the goods in must be released. A released goods in means that the goods in can be found on the handheld terminals, and that you can start receiving goods.
To release the goods in, click Release for receiving at the bottom of the page:
If information is missing on the goods in, you will not be able to release it. If this happens, check the top of the page for what the system is missing, correct it, and try to release again.
Once the goods in is released, it gets the status Ready for receiving in the overview:
On your handheld terminal, you can now also find the goods in and start receiving goods. To find goods ins on the handheld terminal, open the Lagersystem app and tap Goods in at the top of the screen.
You will now see an overview of all released goods ins in your Lagersystem. Tap the one you want to start processing.
