Goods Receipt: Receive goods with the scanner

Before you can start handling your goods receipts, they must first be released. You can read about releasing goods receipts here.

Select a goods receipt

When a goods receipt has been released, it is ready to be received at the warehouse. To receive goods with the scanner, open the Lagersystem app and select Goods Receipt at the top of the screen.

Here you will be presented with a list of all released goods receipts:

To start a goods receipt, tap it.

If you have many goods receipts to choose from, you can scan one of the items that you know is on the goods receipt, and the scanner will only show you goods receipts that contain the scanned item.

You can also search for a reference if you know what the goods receipt you are looking for is called.

Once you have selected a goods receipt, simply start scanning the items on it. It is saved to the goods receipt every time you scan, so you can leave the goods receipt and continue later if you are interrupted along the way.

If you scan an item that is not on the goods receipt, you will receive an error message. This way, the system checks that you have received the correct items while you are working through the goods receipt.

Information during goods receipt

Along the way, the scanner shows you how many items you have scanned, as well as how many you still have left to scan. In the example below, 18 out of the expected 20 of the item have been received.

At the top, a progress bar is also shown with a percentage indicating what proportion of the total number of expected items has already been scanned in. This gives you a quick overview of how far along the goods receipt is.

You can also see that the scanner indicates that there is one order containing the item in question — this way you can save a little time in the warehouse when placing the products at their location (since you already know that 1 unit is needed at the packing station right now).

The item's location is also shown on the goods receipt line.

There are also two options for completing the goods receipt: Complete goods receipt and Partial goods receipt.

Complete goods receipt

When you have scanned all items on a goods receipt, the overview on the scanner for that goods receipt will be empty, and you now have no other option than to complete the goods receipt.

A normally completed goods receipt will transfer the scanned products so that the stock figures are updated with the quantity received.

Partial goods receipt

If you have scanned some, but not all, items on a goods receipt, you also have the option to do a partial receipt. This could be relevant, for example, if you have only received 18 out of the 20 units you ordered (as in the image above).

When you do a partial receipt via the scanner, the goods receipt will remain open for later when you receive the rest of the order. When the last 2 items arrive, simply open the goods receipt on the scanner, scan the products, and complete the goods receipt.

If you do not expect to receive the last 2 items, you must open the goods receipt again and select Complete goods receipt to complete and archive the goods receipt.

Extra actions during goods receipt with the scanner

There are some extra functions on the scanner that can be useful during a goods receipt. If you tap a product on a goods receipt line, a number of actions appear for the selected product:

  • Receive: Tap to receive 1 unit of the item. This is useful if the item is missing a barcode or cannot be scanned.
  • Receive all: Receives all the expected units of the item. If, for example, you have received 0 out of 20 units, the system will automatically receive all 20. Only use this function if you are completely certain of the quantity you have received.
  • Edit locations: Here you can edit, add, or remove locations for the item.
  • Add barcode: If the items you have received have been given new barcodes, or have a different barcode than expected, this function can add an additional barcode to the product.
  • Print barcode labels: Automatically prints barcode labels for the product via Autoprint. This requires that you have connected a barcode label printer in Autoprint.
  • Close: Closes the menu.

Tip: just as with stock counts, you can usefully employ multiple scanners to register the received items.
