Lagersystem Email/SMS Templates

Templates let you design, send, and print emails, SMS messages, delivery notes, and partial delivery messages.

In Lagersystem there are predefined templates, so that from the start we can send messages when an order is completed, such as The order is on its way, with a link to Track&Trace, and Partial delivery messages to customers (if this is an option). You can also edit the Order confirmation, which can be printed at the start of order processing and used as a pick list/delivery note, as well as the Delivery note, which can be printed once the order has been fully processed.

Note! By default, no SMS templates have been created, as sending these from Lagersystem costs extra. Email templates are free to use.

You can always change these templates or create your own templates. In a template you can insert "keys", which are references to fields on the order, for example the order number, item price, customer name, address, etc. You will find an overview of the various keys at the bottom of this article.

Create or edit an SMS or email template

To create or edit a template, go to Setup, Order setup and select either Email templates or SMS templates.

In the overview you can see the templates that have been created, and you have the option to edit, copy, or delete each individual template. Only default templates have been created for email, while SMS is empty.

If you want to create a new template, you can base it on one of the other templates by copying it, or by selecting "Create new template" and building the template from scratch.

When you create a template, it's important that you select the correct type for the template, as the type determines how the template can be used.

Example: "Order ready for pickup" will only be sent for orders where you scan a Pickup label.

Important information about SMS templates

If you choose to use SMS templates, you should be aware of the extra cost of sending SMS messages from Lagersystem. The price is described when you click into the SMS templates tab.

When you create an SMS template, you need to select the type and whether the template is the default (the default determines which template is used if you have several of the same type).

In the "Title" field you can write a name for internal use – this is not something your customers see, but simply so you can give your template a meaningful name.

In "Sender" you can write a name that is shown as the sender when the customer receives your SMS. Note that there is a maximum of 11 characters; otherwise, the end of the sender name will be cut off.

In the "Template" field you can write the message the customer will receive by SMS. Here you can use the keys shown in the list below. Note that there is a maximum of 160 characters in SMS messages. If your message exceeds 160 characters, it will be sent as 2 or more SMS messages (making the message more expensive to send).

Also note that the number of characters sent does not include the keys themselves, but the "final" message. For example, if you send a message using the key {$navn}, the message will contain 9 extra characters if the customer's name is "Ib Jensen", but 25 extra characters if the customer's name is "Charlotte Bartholomæussen". So keep this in mind when creating SMS templates.

Using keys in templates

To insert a key into your template, you can use the keys from the list below. Some keys are only relevant for certain types of templates. So if you find that you have inserted a key without it appearing when your template is used, this may be the explanation.

Custom fields

If you want to use a custom field as a key in a template, this is done by writing "extra" before the name of the custom field. This means that in the template you would, for example, write "{$extraKundenummer}".

Note: It is important that you reference the custom field exactly, and it is case-sensitive.
