Handling pickup orders

If you give your customers the option to pick up their order at your warehouse or in a store, you can process pickup orders in two ways in Lagersystem.

The difference between the two methods is that one method picks and completes the order in a single workflow, while the other splits the workflow into two parts. In the two-part method, the first part consists of the item being picked and an email being sent to the customer that the order is ready for pickup, and the second part consists of the order being completed when the customer collects the package.

Setting up pickup orders

To choose which of the two workflows you want to use, go to Setup -> Order setup in Lagersystem. Here you'll find the setting Two-part pickup order handling. By checking this box, Lagersystem will split pickup orders into the two-part workflow.

Set up email templates for pickup orders

If you use pickup orders (regardless of method), you should make sure an email template of the type Order ready for pickup has been created. This email is sent to the customer as soon as the order has been packed and is ready to be picked up.

For the two-part workflow, you should also make sure the template Order picked up has been created. This is sent after the customer has collected their order using the two-part method.

The pickup order from start to finish

Below is a brief walkthrough of how a pickup order is handled from start to finish. We'll go through the simple method first, and then the two-part method.

The simple method:

If you have not split the pickup order into two parts, Lagersystem processes the order as follows:

  1. The order is imported into Lagersystem and is ready for handling.
  2. The order is picked via computer or handheld terminal, and a pickup label is created.
  3. The label is scanned and the order is completed immediately in both Lagersystem and your webshop or ERP system.
  4. An email is sent to the customer that the order is ready for pickup (the Order ready for pickup template).
  5. When the customer collects the order, it can simply be handed over without any further action.

The two-part method:

If you have chosen the two-part method, pickup orders are handled as follows:

  1. The order is imported into Lagersystem and is ready for handling.
  2. The order is picked via computer or handheld terminal, and a pickup label is created.
  3. The label is scanned. An email is now sent to the customer with the Order ready for pickup template. The order gets a new status: Ready for pickup.
  4. When the customer collects the order, the pickup label is scanned and the order is completed in both Lagersystem and your webshop or ERP system. An email is sent to the customer with the Order picked up template.
  5. The order can be handed over to the customer.
